We are looking for a proactive and flexible Administrative Support professional to join a fast-paced digital transformation program. In this role, you will act as a right hand to the Nexus Admin Assistant, providing a wide range of organizational and administrative support to ensure smooth day-to-day operations across a program of 130 people.
Requirements
Supporting with ad hoc administrative tasks such as booking meetings, maintaining distribution lists, approving SharePoint access, and replying to inbox requests
Booking travel and hotels, preparing visa letters and invitations, and managing data filing
Assisting with HR and recruiting-related tasks
Supporting the organization of offsite workshops: coordinating logistics, liaising with agencies and procurement, preparing documentation (e.g., lanyards, printouts), and occasionally travelling to workshop locations (up to 3 weeks, 6 times per year)
Executing tasks assigned by the Nexus Admin Assistant and other Nexus stakeholders with speed, accuracy, and discretion
This position requires a high degree of flexibility, resilience under pressure, and a willingness to go the extra mile in a constantly changing and demanding environment.
Competences
Previous experience in a dynamic, fast-paced administrative role
Strong organizational, communication, and multitasking skills
Proficiency in ARIBA PO and advanced skills in MS Office (Outlook, Word, PowerPoint, Excel)
Familiarity with tools such as SAP, SharePoint, and MS Teams
Able to work independently and deliver accurate work under tight deadlines
Willingness to travel regularly for offsite workshops
Comfortable reporting to and supporting the Nexus Admin Assistant rather than working in a peer-level role
